1. Who we are

Eletiser Ltd is the controller of personal data collected through Celloxen Insight, unless stated otherwise. This policy applies to visitors, individuals using the reflective platform, practitioners, their clients, and administrators using the platform.

2. Personal data we may collect

Depending on how you use the platform, we may collect reflection entries and any personal details you choose to include in them, such as thoughts, feelings, moods, events, and dreams; optional display name and email address; account details and, for practitioners, the client relationships you create; contact enquiry details; technical data such as IP address, browser details, request headers, timestamps, rate limit records, and security logs; admin account details, login activity, and operational audit information; and payment or subscription information where paid services are enabled.

3. Important note about reflection entries

Please include only what you are comfortable sharing. Reflection entries may naturally touch on health, relationships, beliefs, or other private matters. Celloxen Insight is a reflective tool, not a clinical or emergency service, so please do not use it to share information that needs an urgent or professional response.

4. Why we use personal data

We use personal data to provide the reflective insight service; generate reflections and surface patterns from your entries; support the relationship between practitioners and their clients; respond to contact enquiries; maintain platform security, abuse prevention, rate limiting, and fraud prevention; operate admin functions, backups, monitoring, and support; comply with legal, regulatory, tax, accounting, and record keeping obligations; and improve and debug the platform using operational logs and aggregated technical information.

5. Lawful bases

Depending on the activity, we rely on contract, legitimate interests, legal obligation, and consent where appropriate under UK data protection law. Consent may be used for optional marketing or non-essential cookies if introduced.

6. Technology and service providers

The platform may send reflection text and related content to technology and infrastructure service providers in order to generate reflections and operate the service. We aim to minimise the information shared. Service providers may include hosting, database, monitoring, email, payment, and technology service providers.

7. Retention

We keep personal data only for as long as needed for the purposes described in this policy, including security, support, audit, legal, accounting, and operational needs. Reflection entries, generated reflections, logs, and rate limit records may be retained for platform integrity and abuse prevention, then deleted or anonymised when no longer required.

8. Your rights

You may have rights to request access, rectification, erasure, restriction, portability, objection, and withdrawal of consent where consent is used. These rights may depend on the lawful basis and circumstances. You also have the right to complain to the UK Information Commissioner's Office.

9. Children

This platform is not intended for children. Users should not submit personal data about children unless they have appropriate authority and a lawful reason to do so.

10. Changes

We may update this Privacy Policy as the service develops, including when payments, user accounts, analytics, email notifications, or additional platform features are introduced.
